Glanbia America’s Meeting Photography

Let us capture your event.

When everyone in the company gets together for a meeting it’s important to capture what happens. Not only is great photography important for communications and sharing internally, it adds a gravitas to what’s going on for the attendees. We’ll be there to add that to your event. We will come out Monday, Tuesday, and Wednesday and capture documentary style event photography. We’ll be there at the right moments capturing unique images that will live on long beyond the event. Then on Monday and Tuesday nights, we’ll do go back to a hotel room and do a same day edit of the photos and assemble them into a fun, up beat recap video that will get the next day started right.

On Tuesday and Wednesday, we’ll have 2 headshot photographers on site to capture any of the 230 attendees that want to have headshots done. We won’t have scheduled appointments, but anyone will be able to stop by during the event to get a headshot done. Following the event we’ll do some light editing and send a link out to our contact at Glanbia to distribute to everyone who had their photo taken.

These days, it’s not often that people are able to get together in person, and we’d love to be there to capture it for you.

Day By Day.

Before the event

We’ll work with your team to lock down the look and feel of the headshots. We’ll choose music together for the recap videos, and we’ll make sure you’re familiar with our internal review tools that will help the edits get routed and approved quickly. Internally we’ll put together the plan for the best way to identify people in the headshots and for capturing the day.

Monday

We’ll arrive and have one photographer capture documentary event photography of the day. Then we’ll do an edit and assemble the best images into a slide show, and deliver that digitally so you can use it to get Tuesday started.

Tuesday

Our event photographer will continue to capture what’s happening at the event. In addition to that we will have 2 head shot photographers set up for the duration of the day (10 hours max, from setup to breakdown, not including an hour lunch). This will be an open time for people to pop in and get their headshots done. We’ll need 2 photographers for this part, because with 230 attendees and no scheduling of their arrival times if/when they want headshots, we need to have coverage. If each person’s head shot takes 5 minutes, it will take almost 20 hours to do 230, so we need to split that over 2 photographers and 2 days. After the day’s activities, the event photographer will again do an edit of the photos from the day, and an editor will assemble them into a recap video to be played Wednesday morning.

Wednesday

Our event photographer is back at it doing their thing, and our 2 headshot photographers are capturing anyone who wants their headshot taken.

After the event

Within a week we’ll provide a link to download all the edited event photos, as well as a link to the headshots that your team can distribute. We’ll also send over the recap videos.

My Professional Opinion.

We’re here to service our clients and get their needs taken care of. We’re experts in photography and videography and in our opinion, nobody comes close to delivering the skill to experience to price that we offer. Part of what we offer is our experience. And in my experience, open calls for headshots rarely are worth the money clients spend on them. I’m happy to provide the service for you, but having had this same set up at dozens of conferences in the past, nobody really shows up. Not that many people want headshots in general, then if you look at the times you’ll have open (an hour or two before the meetings start, 15 minute break in the morning, maybe an hour for lunch and a 15 minute break in the afternoon) my estimate would be you’ll get 20-30 people who come by tops. But if you’re offering it to attendees, you need to be staffed for a rush, so you’d have to pay for multiple photographers over multiple days.

What we’ve found works better for most clients is having “headshot day” at their office where someone is set up for the day and people schedule a 5-10 minute block of time to come get the headshot done. This way it’s not something they have to remember to do, they’re reminded by an appointment on their calendar. And they’re not having to skip a meeting or class to do it, because they’ve signed up for it.

Like I said, I’m happy to offer it on location at your event, I just want to make sure you know (in case you haven’t done them in the past) that for most companies they’re not worth the amount of money they spend on it as not many people show up.

A little about us.

It’s important to learn a little bit about who you’re working with before a project starts. We’re not fresh out of college and decided to start doing our own thing. Our founder & Creative Director, Cal Engel has over 20 years experience in the industry. Spanning from traditional marketing agencies to innovation agencies to brands to digital out of home, even working with literally the biggest music acts in the world. Ten years ago he decided to form AV Collective as a way to provide that same high quality work to clients, but without them having to pay the overhead of a traditional agency. Why’s that important for you? Every project is going to have challenges. It’s about the knowledge and expertise of the people you work with, that allows them to overcome those challenges and deliver projects beyond your expectations.
